Damage & Return Policy
Effective Date: 26 Oct, 2026 • Dealership Pro • Institutional Distribution Network
General product returns must be filed within 7 calendar days with unopened master cartons and intact factory seals.
Transit damages or carton leaks must be recorded with delivery personnel on Proof of Delivery (POD) or reported within 48 hours.
Approved claims are immediately credited to the shopholder ledger balance, reducing due receivables or crediting the next invoice.
1. Scope & Wholesale Commercial Terms
This Damage & Return Policy applies to all consumer goods, FMCG stock, beverages, packaged foods, and inventory distributed by Dealership Pro to registered shopholders, retail store partners, supermarkets, and corporate buyers. Every delivery accepted under an official Delivery Challan is subject to the conditions established herein.
2. 7-Day Standard Return Policy
Retail shopholders may request a return of eligible stock within 7 calendar days of the original delivery date, subject to the following strict requirements:
- Packaging Integrity: Items must remain in their original, unopened manufacturer master cartons or packaging. Inner foil seals, tamper-evident tape, and blister packs must be completely unbroken.
- Batch & Barcode Match: The batch number, manufacture date, and lot code printed on the returned carton must match the corresponding sales invoice and picking record.
- Inventory Rotation: Returns for slow-moving products must be pre-authorized by the assigned Route Salesman or Sales Manager prior to return pickup.
3. 48-Hour Damage & Transit Breakage Policy
We take full responsibility for product integrity during warehouse storage and vehicle transport up to the moment of physical handover at the retailer shop.
The customer is required to count cartons and inspect for visible crushing or leakage in the presence of the delivery driver. Any issue must be noted on the Proof of Delivery (POD).
If internal breakage is discovered after opening a sealed master carton, a damage claim with clear photographs must be lodged within 48 hours of delivery.
- Damage Loss Fund Accounting: Once verified by the Route Supervisor, all damaged stock is credited to the shopkeeper and booked directly into the dealership Non-Operational Damage Loss Fund (Account #502), permanently retiring the damaged items from stock.
- Manufacturer Replacement: Damaged goods eligible for factory warranty are safely palletized at the central warehouse and returned to the manufacturer for replacement.
4. Non-Returnable & Excluded Products
The following categories are strictly excluded from return and damage compensation:
- Products with broken, opened, or altered manufacturer seals.
- Expired stock resulting from prolonged storage at the retail shop.
- Damage caused by shop negligence, pest infestation, water exposure, or direct sunlight heat damage.
- Promotional gift articles, clearance stock, or bonus incentive units supplied at zero cost.
